Your IAAPA survival guide: plan like a pro

A little preparation goes a long way at an event of this size. Here are a few tried-and-true tips from our team.

Map your week before you land

Review the show agenda, pick the education sessions that align with your goals, and slot in booth visits you don’t want to miss. 

Set realistic daily goals

The show floor is massive. Choose two or three priorities per day (such as “evaluate ticketing options,” “find a new F&B partner,” or “attend two sessions”) and give yourself buffer time between commitments.

Use the event app

In the IAAPA Connect+ official app, you can create a personalized schedule, bookmark sessions and booths, and use an interactive map. The app also makes it easier to message other attendees and schedule meetings before, during, and after the expo.

Block time for follow-ups

If you meet a vendor or operator you want to reconnect with, ask for a 10-minute follow-up later in the week or shortly after the show. Quick debriefs help turn conversations into action.

Don’t forget your #IAAPAshoes

Veterans know this one well: comfortable shoes are non-negotiable. You will be on your feet for hours and can easily log double-digit miles in a day. Consider rotating footwear across the week so you are not putting pressure on the same spots every day. If you’re demoing equipment or walking outdoor areas, bring socks and blister prevention just in case. Your future self will thank you.

Make the most of IAAPA: beyond the booth

IAAPA is more than a trade show, it’s a week-long opportunity to learn from peers, swap ideas, and stress-test your plans for the year ahead. Here are a few ways to get the most value out of your badge.

  1. Network with intention. Introduce yourself in sessions, join roundtables, and ask speakers for one actionable takeaway. If you are attending with colleagues, divide and conquer so you cover more ground and compare notes at the end of the day.
  2. Explore new technology hands-on. From mobile check-in and dynamic ticketing to analytics and guest feedback, look for solutions that remove friction for your team and your visitors.
  3. Balance inspiration with execution. It is easy to get swept up in big ideas. Capture three to five concrete actions to test when you return home, assign an owner for each, and set a simple success metric.

What to pack: a practical checklist

Florida weather in November can be unpredictable, so it’s always a good idea to check the forecast before you pack. Inside the convention center, you can also expect strong air conditioning, so bring a warm layer or sweater along to the expo. 

  • Comfortable footwear, plus a backup pair
  • Light layers for air-conditioned rooms
  • Water bottle and quick snacks
  • Portable charger and charging cables
  • Business cards or a digital contact-sharing app
  • A simple note-taking system (app or notebook) and a to-do list of your goals for the week
  • Any must-have demo materials or documentation
  • Travel logistics: confirm your badge pickup plan and transit time to the convention center
